[Material-Sim Ltd] ("Material-Sim", "we", "us") builds full-physics process simulation for polymer 3D printing, delivered through this website and our web application at app.material-sim.com. We are the data controller for the personal data described in this policy.

2Scope of this policy

This policy covers personal data we handle when you visit material-sim.com, use the Material-Sim application, or contact us. It does not cover third-party websites we link to, which have their own policies.

Where you upload files and run simulations, those files (for example CAD geometry, process settings and results) may be your own or your employer's confidential technical information. We treat that content as confidential and process it only to provide the service — see sections 3 and 6.

3What data we collect

Information you give us

• Account & identity — your name, work email address, organisation, and role, when you register for early access or an account.
• Communications — the content of emails and messages you send us, and our replies.
• Content you upload — the geometry, material selections, process configurations, simulation results and any notes you create or upload when using the application ("Customer Content"). This is generally technical data rather than personal data, but may include your name or contact details within a project.
• Billing details — if and when you take a paid plan, the billing contact and information needed to invoice you. Card payments, if introduced, will be handled by a third-party payment processor; we do not store full card numbers.

Information we collect automatically

• Technical & usage data — when you use the application we log data such as IP address, browser and device type, pages and features used, and timestamps, to keep the service secure and working.
• Cookies — the application uses strictly necessary cookies for sign-in and security. This marketing website sets no cookies and uses no third-party analytics or advertising trackers. See our Cookie Policy.

We do not intentionally collect special category data (such as health, or biometric data) and ask that you do not upload it.

4How and why we use it

We only use your personal data where the law allows. The lawful bases we rely on under Article 6 of the UK GDPR are:

Where we rely on legitimate interests, we have weighed those interests against your rights. You can ask us about this balancing at any time.

We do not sell your personal data, and we do not use your Customer Content to train models for other customers without your explicit agreement.

5Cookies

The marketing website uses no cookies and no analytics. The application uses only strictly necessary cookies to keep you signed in and to protect against cross-site request forgery. Full detail, including how to manage cookies in your browser, is in our Cookie Policy.

6Who we share it with

We share personal data only with service providers who help us run Material-Sim, and only as far as needed. Each acts as our processor under a written contract that requires them to protect your data. These currently include:

• Cloud hosting & delivery — Cloudflare, Inc. (website hosting and content delivery).
• Application compute & storage — [cloud infrastructure provider, e.g. AWS / region], where the application runs and your projects are stored.
• Email — [email provider], for the messages we exchange with you.
• Payments — [payment processor, once paid plans launch].

We may also disclose data if required by law, to enforce our Terms, or in connection with a merger or acquisition (in which case we will tell you). We do not share your Customer Content with other customers.

7International transfers

We aim to keep personal data within the UK or European Economic Area. Where a provider processes data outside the UK/EEA, we put appropriate safeguards in place — such as the UK International Data Transfer Agreement or Addendum, or the European Commission's Standard Contractual Clauses — so your data keeps an equivalent level of protection. You can ask us for a copy of the safeguards we use.

8How long we keep it

• Account data — for as long as your account is active, and for a limited period afterwards.
• Customer Content — until you delete it or close your account; we then delete or anonymise it within a reasonable period, unless we must keep it to meet a legal obligation.
• Technical logs — for a limited period appropriate to security and troubleshooting.
• Financial records — for as long as tax and accounting law requires (typically six years).

9How we protect it

We use appropriate technical and organisational measures to protect your data, including encryption in transit, access controls, and hosting on reputable cloud infrastructure. No method of transmission or storage is completely secure, but we work to protect your data and to detect and respond to incidents. If a breach affects your rights, we will notify you and the ICO as the law requires.

10Your rights

Under the UK GDPR you have the right to:

• be informed about how we use your data (this policy);
• access a copy of your personal data;
• have inaccurate data corrected;
• have your data erased in certain circumstances;
• restrict or object to certain processing, including direct marketing;
• data portability — receive certain data in a portable format;
• withdraw consent at any time, where we rely on consent.

To exercise any of these, email privacy@material-sim.com. We will respond within one month. Exercising your rights is free in most cases.

11Children

Material-Sim is a professional engineering tool intended for business use. It is not directed at children, and we do not knowingly collect data from anyone under 18.

12Changes to this policy

We may update this policy as our product and legal obligations change. We will post the new version here and update the date above; significant changes affecting how we use your data will be communicated to account holders.
